Participation Agreement

1. Parties and subject

This agreement is between SilentFest Global, which runs the camp, and the applicant filling in the form.

Its subject is applying to, being accepted for, and taking part in the SilentFest Global camp held in Türkiye in 2027.

Ticking the box on the last step of the form means you accept this text. The date and version you accepted are recorded.

2. Who can apply

• The camp is for deaf and hard-of-hearing young people. Deafblind applicants are equally welcome.
• There is no age limit; applicants of any age may apply. Participants under 18 need a parent or guardian's consent.
• Knowing sign language is not required. About a third of participants start learning it at the camp each year.
• English level, school grades and signing fluency are not selection criteria.

3. Applying and being selected

The form takes about 6 minutes, and you can stop halfway and come back to it in the same browser. Nothing is charged at the application stage.

Applications close: to be announced. Anything arriving after the closing date is considered for the waiting list only.

A committee of people makes the selection; there is no automated or algorithmic filtering. Your motivation text and what you can bring to the group are what count. We also aim for a group balanced across countries, genders and experience.

Assessment finishes within 3 weeks of the closing date. Everyone gets a written answer, accepted or not.

4. Fee and payment

• The participation fee for one adult is €900 paid up front, or €1,000 paid in instalments. Coming as a family, the same fee applies to each adult.
• The fee covers accommodation, three meals a day, all workshops and activities, transport within the camp, and interpreting.
• Travel (flights or coach) and any visa costs are yours.
• The first child aged 12 or under is free; each further child in that bracket is 50% off.
• Children over 12 pay the adult fee.
• Room type (single, double or triple) is not a price tier; we meet the preference as far as the rooms allow.
• No payment is taken at the application stage. You are only asked to pay once you are accepted.

5. Withdrawal, cancellation and refunds

• For 14 days after the acceptance email you may withdraw for any reason or none. If you have not paid, you owe nothing; if you have, you get all of it back.
• Cancel more than 30 days before the camp starts and 75% of what you paid is refunded.
• Cancel less than 30 days before and the accommodation booking can no longer be cancelled, so no refund is possible — unless you have a documented reason such as illness, a visa refusal or a family emergency, in which case you are refunded in full.
• You cannot pass your place to someone else; it goes to the next person on the waiting list.

6. What we ask of you

Sign language is the shared language of the camp. That does not mean speaking is banned; it means that when a deaf participant is present, the conversation stays in sign. The rule applies to everyone, from the kitchen volunteers to the camp doctor.

As a participant you agree that:

• The information you gave in the form is true. Knowingly false identity or health information is grounds for cancelling your place.
• You will treat other participants, the team and the venue with respect. Discrimination, harassment, bullying and violence are not tolerated in any form and are grounds for being asked to leave.
• You will not bring or use illegal substances on site. Alcohol is permitted only in designated areas and only for those over 18.
• You will tell us before the camp starts if your health changes in a way that affects your participation.
• If you are asked to leave, no refund is made and your journey home is at your own cost.

7. What we owe you

• Enough sign language interpreters for the whole camp, evening programme included.
• A team that can, every one of them, communicate in sign language.
• The accessibility needs you declared in the form, in place before the camp starts — and if we cannot meet one, we tell you plainly and in advance.
• Your dietary needs passed to the kitchen team directly.
• A camp doctor on site throughout.
• A written answer to every application, accepted or not.

8. Health, insurance and liability

Every participant is covered by valid travel and health insurance for the duration of the camp; the premium is included in the fee.

This is an outdoor camp and the programme includes physical activity such as hiking and water activities. None of it is compulsory and taking part is entirely your choice.

We are not liable for situations arising from your own negligence, for loss of personal belongings, or for time you spend away from the camp site.

Nothing in this agreement limits our liability for our own intent or gross negligence.

9. Photographs and video

We take photographs and video at the camp. Appearing in them is entirely up to you and is set by the separate consent box in the application form.

If you do not consent we keep you out of frame, and it affects neither your application nor your time at the camp.

Even if you do consent, you can ask us to take a particular image down at any point afterwards. We act on such a request within 30 days.

We use the images only to promote the camp and for our own archive; we do not sell them to third parties.

10. If the camp is cancelled or changes

If force majeure — a natural disaster, an epidemic, war, an official ban — forces us to cancel, you get everything you paid back. We cannot cover travel costs, which is why we suggest buying a refundable ticket.

We may change the programme for weather or safety reasons. The dates, the place and the fee do not change.

If too few places are filled we may postpone, in which case you choose between a full refund and moving to the new date.

11. Your personal data

How we handle your data is set out separately, in the privacy notice. Accepting this agreement does not replace the consents described there — those are ticked separately in the form.

12. Governing law and effect

This agreement is governed by the law of the Republic of Türkiye. The courts and enforcement offices of Antalya have jurisdiction.

The consumer rights of participants living in the European Union are unaffected; this agreement does not limit them.
